Role Overview
Reporting to the Head of Space Management, the role will be to strengthen the Space Management team in the delivery of the annual work programme and provide additional support to the overall Administrative Services department.
JOB PURPOSE
· To be responsible for the entire moves and changes programme: from developing client brief to implementation.
· To advise on office accommodation services across the Bank within a corporate strategy including Space Planning and Office Services.
· To be responsible for provision of the full range of space planning services, move management and office accommodation consultancy advice to the Bank.
· To maintain and upgrade a central database of CAD drawings, space standards and accommodation usage for all buildings within the HQ and RO.
· To be responsible for planning and implementing accommodation moves for all departments.
· To develop and maintain an audit of all office accommodation across the Bank including usage levels, quality standards, health and safety standards in order to ensure best value is achieved.
Key Responsibilities and Deliverables
- On a regular basis to review the use of office accommodation by Department by comparison with the established Space Allocation Guidelines.
- To identify and assess the suitability of specific accommodation needs to meet all floor space requirements, maximising the use of office space.
- To liaise with user departments at all levels, including Directors, survey requirements, and prepare office layout plans showing furniture and facilities required.
- To prepare a master schedule of all office moves under an accommodation strategy plan.
- Co-ordinate each move and supervise the furniture installations according to plan, if required to do so by departmental management.
- To maintain and develop the current Computer Aided Design and Database system, including layer sanitation, filing structure, referenced drawings etc.
- To provide a planning/design and reference service to departments ensuring that client requirements are properly specified in the brief preparation process and taking into account varying specialist department requirements, Health & Safety, Means of Escape, and other technical and legal requirements.
- To provide plans and/or space allocation data as and when requested by departments and to supply advice on space planning to voluntary sector and outside organisations as appropriate.
- To oversee, plan and co-ordinate minor and major office moves within the Bank’s building/s.
- To liaise with and organise all appropriate professionals and contractors as part of the project planning process.
- To identify the need for changes and new services and make recommendations to the Head of Space Management.
- To be responsible for planning and co-ordinating the promotion of space planning services throughout the Bank.
- To co-operate with and assist the Administrative Services on any major corporate building projects.
- Providing building line surveys and any other information contained in the data record system.
- Produce detailed CAD drawings as required by the Administrative Department for building projects.
- To prepare complex reports in respect of space planning and facilities management.
- To manage the administration of information, application systems, technology and staff so that the group complies with the Bank’s Information.
Essential Skills, Experience & Qualifications
- Interior design or Space Management degree or equivalent
- 2 – 5 years’ experience working for a Corporate organisation
- Experienced in space planning and furniture layouts
- Knowledge of furniture specification
- Proficient and literate in AutoCAD and Microsoft Office
- Knowledge of 3D platforms desirable, but not essential
